Attendance, Lateness, and Refunds Policy for Bright Path Learning Ltd
1. Introduction
1.1. Bright Path Learning Ltd is committed to providing high-quality educational experiences for all students. This policy outlines our expectations regarding attendance, lateness, and refunds to ensure the smooth operation of our online tuition services.
1.2. By enrolling in our services, parents and students agree to adhere to the guidelines set out in this policy.
2. Attendance
2.1. Commitment to Sessions:
2.1.1. Bright Path Learning Ltd encourages parents to commit their children to tuition throughout their schooling, as academic progress takes time. Consistent participation is essential for long-term success.
2.1.2. If parents wish to remove a child from a session, they are required to communicate this decision to the tutor and notify Bright Path Learning Ltd at learn@brightpathlearning.co.uk at the earliest opportunity.
2.1.3. Sessions run through term time, with additional crash courses offered during half-term breaks.
2.2. Recording and Monitoring Attendance:
2.2.1. All lessons are recorded, and an automatic register is taken at the beginning of each session.
2.2.2. Tutors will monitor student attendance and engagement throughout the session.
2.2.3. If a student fails to engage during a session, the tutor will communicate any concerns to the parents promptly.
2.3. Reporting Absences:
2.3.1. Parents are required to inform the tutor if their child is unable to attend a session, providing more than 24 hours’ notice where possible.
2.3.2. Absences with less than 24 hours’ notice, except in cases of illness, will require payment for the missed session.
2.4. Persistent Absence:
2.4.1. Persistent absence from sessions, without valid reasons, may result in the removal of the student from the program.
2.4.2. Tutors will discuss any concerns regarding frequent absences with parents before making any decisions regarding a student's continued participation. In the case of repeated absences tutors will discuss with Bright Path Learning Ltd. about removal of the student from the sessions.
3. Lateness
3.1. Expectations for Punctuality:
3.1.1. Students are expected to arrive on time for their scheduled sessions to maximise their learning experience.
3.1.2. Tutors will begin lessons promptly, and students arriving late will miss valuable instruction time.
3.2. Communication of Lateness:
3.2.1. If a student is late for a session, the tutor will inform the parents.
3.2.2. Repeated lateness may lead to discussions with parents to address the issue and find a solution. In the case of repeated lateness tutors will discuss with Bright Path Learning Ltd. about removal of the student from the sessions.
4. Tutor Absence
4.1. Tutor Communication and Planning:
4.1.1. Tutors are expected to communicate any planned absences at the start of each half term, where possible.
4.1.2. In cases of unexpected absence, tutors should inform parents at the earliest possible opportunity using their workspace account.
5. Refunds
5.1. Refund Policy for Missed Sessions:
5.1.1. If a session is missed due to a tutor’s absence and cannot be rescheduled, parents will receive a refund for the missed session within 48 hours.
5.2. Payment and Commitment:
5.2.1. Parents are expected to pay for sessions on a monthly basis, on the first of every month.
5.2.2. Parents can subscribe on a short term 3 month programme, or for a 12 month programme in which prices are discounted.
5.2.3. Payments should be made into the designated business account, which will be provided to parents at the start of the tuition arrangement.
5.2.4. Payment should be made promptly according to the agreed schedule which will be shared during initial contact between parents/guardians and Bright Path Learning.
6. Communication with Parents
6.1. Tutor Responsibilities:
6.1.1. Tutors are responsible for maintaining open lines of communication with parents regarding attendance, lateness, and any concerns about student engagement.
6.1.2. All communication between tutors and parents should be conducted through the Bright Path Learning Ltd workspace account to ensure professionalism and transparency.
6.2. Parent Responsibilities:
6.2.1. Parents are expected to keep tutors informed of any issues that may affect their child’s attendance or punctuality.
6.2.2. Parents should respond promptly to any communications from tutors regarding their child’s progress or attendance.
7. Policy Updates
7.1. This policy will be reviewed regularly to ensure it remains relevant and effective in supporting students' learning and well-being.
7.2. Any significant updates to the policy will be communicated to parents and tutors in a timely manner.
